This article explains how to export data from 120Water's State Dashboard to SDWIS, ensuring smooth submission of utility data for LCRR compliance.
Exporting Data from State Dashboard to SDWIS
It is critical for State Agencies to ensure that all Utility submissions are reported up to the EPA. The final step in this process is exporting data from 120Water's State Dashboard into SDWIS, a required step to achieve compliance.
At 120Water, we’ve built a seamless process for submitting data to the State Dashboard, but it’s equally important to provide a smooth export process. This feature will enable State Agencies to seamlessly extract and submit accurate data to SDWIS, ensuring that all compliance steps are met efficiently.
Why is the SDWIS Export Important?
The SDWIS export is vital because it completes the data submission cycle for State Agencies. After data is submitted and accepted in State Dashboard, this export tool allows users to extract the necessary information in a format that SDWIS can process. This tool simplifies the final step, ensuring data reaches the EPA without errors.
How Does the SDWIS Export Work?
The difference between SDWIS All and SDWIS New exports:
SDWIS only accepts data submissions that don’t repeat information from previous submissions. If you send the same PWS ID with the same reported date more than once, SDWIS will reject the duplicates.
Here’s how it works:
-
SDWIS All: Exports all accepted submissions, which is great for your first submission. But if you include the same data in future exports, SDWIS will reject the duplicates.
-
SDWIS New: Only exports new submissions that were accepted since your last export. This prevents duplicates and ensures a smooth submission process to SDWIS.
For example, if you already submitted 10 records last week and now have 2 new ones, SDWIS New will only export those 2 new records, avoiding any errors from resubmitting the original 10.
What Data is Exported?
The export generates a CSV file in the format required by SDWIS, with the following fields included:
Field | Description | Example |
---|---|---|
Record ID | Auto-generated integer, starting from 1 | 1, 2, 3 |
PWS ID Number | 9-character PWSID assigned by SDWIS | IN5220014, GA1030131 |
Lead Service Line Classification | Specifies the material classification (e.g., Lead SL, Non-lead SL) | Lead SL, Non-lead SL |
Reported Date | The date the inventory was submitted to the state | 10/16/2024 |
Current No. | The number of service lines in each classification | 0, 5438 |
Each row represents a service line count for a specific material classification (e.g., Lead SL, Non-lead SL). Even if there are no service lines in a certain category, a row will still be generated with a value of 0.
Viewing and Downloading Past Exports
You can access and download previous exports in the Export Log, which is located in the Settings section of the State Dashboard. This log contains essential details, including:
- Export ID
- File Name
- Submission Period
- Type (Currently, SDWIS is the only export type)
- Number of Utilities Included
- Exporter
- When the Export was Started
- Status (e.g., Completed, Failed)
In case of failed exports, the system will store error messages, and you can view the error by hovering over the "Failed" status in the export log.
By following this guide, you can easily manage the submission and export process, ensuring that all data is properly submitted to SDWIS and the EPA without delays or errors. If you have any questions, please reach out to support@120Water.com
