How to use the replacement workflow

Overview

The Replace Asset workflow gives your team a guided, step-by-step process for documenting lead service line replacements directly in 120Water. As you complete each step, the asset record updates automatically and a compliance history is built in the background — no separate data entry required.


Before you start

Find the service line you're replacing. The fastest ways to get there:

  • Go to the Inventory page, filter by Service Line Material to lead, and locate the address.
  • Search directly for the address from the Inventory page.

Open the location record and navigate to the asset.


Step 1: Start the workflow

Click Replace Asset at the top of the asset page. You'll be asked to select one of three options:

  • Full replacement — both the system-owned and customer-owned sides were replaced
  • Partial replacement — only one side was replaced
  • Unable to replace — document why the replacement did not occur

Select the option that applies and continue.


Step 2: Enter replacement details

Fill in the replacement information:

  • New material — select the new material for the system-owned side and the customer-owned side
  • Images — attach photos or other evidence of the completed replacement
  • Conducted by — log who performed the work

Step 3: Document LCRI compliance activities

At the bottom of the workflow, you'll see fields for the compliance activities required under LCRI. Fill in what applies to this replacement:

  • Flushing instructions provided
  • Pitcher filter kit delivered
  • Additional filter cartridges delivered
  • Water sample kit delivered

These fields create a timestamped record of each activity tied directly to the asset. You don't need to log these separately in the Interactions Ledger — the workflow does it automatically.

Click Save when complete.


What happens after you save

Once the workflow is saved:

  • The EPA classification on the asset updates to reflect the replacement
  • The material fields update to the new materials you entered
  • A replacement record appears at the bottom of the asset page showing the date, replacement type, new materials, and all compliance activities documented
  • Corresponding entries appear automatically in the Interactions Ledger for each compliance activity logged — flushing instructions, filter kit delivery, sample kit delivery

Reviewing a completed replacement

To review a replacement after it's been logged, open the asset and scroll to the bottom of the asset page. The replacement record shows the full summary: date, type, materials, and all associated compliance activities.

To see the interaction records generated by the workflow, click the Interactions tab on the Location Details page.
